Defining who is on call is done by configuring the on-call schedule. It is specific to each team, and accessible from the main Teams tab, by selecting a team and then the On-call schedules menu. It can be edited by Owners and Responders.
The final schedule of a team results from two elements: the regular rotations, and the schedule overrides that occasionally supersede them.
Rotations
The rotation configuration lets you define:
- the periodicity of the on-call shift, i.e. its duration (or how often it changes): it can be daily, weekly or monthly
- the start date and time of the rotations
- the members taking part in the rotations, and their order: drag and drop the team members from the Do not take part of the rotation column to the Take part of the rotation column, then order them
Note: Only members with the Responder or Owner role can be on call. Stakeholders cannot take part in rotations.
Schedule overrides
The schedule defined by the rotations can be overridden on an exceptional basis, for example to handle a day off or a swap between two colleagues. A schedule override is defined by:
- the team member taking the on-call shift (whether or not they take part in the regular rotations)
- a start date and time
- an end date and time
During this time slot, this member is on call instead of the person planned by the rotations. Schedule overrides are listed under the schedule, and can be edited or deleted.
Note: Two schedule overrides cannot overlap. Edit or delete the existing override first if needed.
Taking on-call in one click
The Take on-call for an hour button lets a team member declare, in one click, a schedule override in their name for the coming hour.
Schedule preview
A schedule preview displays, as a calendar (day, week or month view), the final schedule of the team, that is the rotations and the schedule overrides.
Note: All hours are displayed in your local time zone.
General on-call schedule
From the main Teams tab, the General on-call schedule tab gathers the on-call schedules of all the teams of your organization on a single calendar (week or month view). Schedule overrides are flagged as override. You can hide or show each team to focus on the ones you care about.
